Can you give me a wedding cake quote over email?
Every wedding cake is custom designed for your event. Because there are many factors that go into the quoting process it is quite time-consuming. Because of this we do not offer free quotes for weddings over email.
How many flavours can I get with my order?
There is a minimum requirement of one flavour per dozen for cupcakes. (we offer regular sized cupcakes but not mini cupcakes).
For tiered cakes, you can choose one flavour per tier.
Can you accommodate special dietary needs?
Egg and Dairy free – We DO offer egg and dairy free cakes. These are our completely vegan cakes and cupcakes. We bake everything from scratch in our kitchen and often with ingredients that contain potential allergens. Certain products may not contain allergens but there is always a chance that cross contamination has occurred as we are not a dairy and egg free facility.
Please note: Vegan buttercream cannot get as smooth as our regular Swiss meringue buttercream so you may notice more air bubbles and texture than normal. Because of this, fondant on top of vegan buttercream cannot get as smooth as we would like so you may notice more some of the vegan fondant textures coming through the fondant. If you insist on having fondant over your vegan buttercream, you may notice air bubbles develop under the fondant over time. We are not responsible for any damage to any of the cake created from the air bubbles as we have recommended that you not choose this design element.
Gluten free – Due to our small space, we are not able to have a separate gluten free kitchen. We bake everything from scratch in our kitchen and often with ingredients that contain potential allergens. Certain products may not contain allergens but there is always a chance that cross contamination has occurred as we are not a gluten free facility.
Peanut and tree nut free – Due to our small space, we are not able to have a separate peanut and tree nut free kitchen. We bake everything from scratch in our kitchen and often use nuts and ingredients that contain potential allergens. Certain products may not contain allergens but there is always a chance that cross contamination has occurred as we are not a nut free facility.
Do you offer Delivery?
We are able to offer deliver with enough notice. Delivery costs are based on the time and distance travelled to the required destination.
Please ask about delivery when ordering and we can give you a quote.
Any items being delivered must be paid IN FULL before delivery.
Sunday deliveries – We are closed on Sundays and do not offer any deliveries on Sundays. If your event falls on a Sunday we can offer delivery the day before or the client can picked up the cake the day before.
If we are to deliver the cake the day before it is your responsibility to ensure that the venue will be able to accommodate the cake and provide a suitable storage place for it. (low moisture fridge-especially for fondant cakes). Once we have delivered we are not responsible for any damage that may occur while being held overnight and into the following day.
If you decide to pick up then you would need to have a space to refrigerate the cake (low moisture fridge-especially for fondant cakes) overnight and again, we are not responsible for any damage that may occur while being held overnight and into the following day.
Distance restrictions – Baked goods that require refrigeration can only be delivered if within a specific amount of time. (40 -45 min) This is an instruction given by the Hamilton Health Department due to the fact that the truck is not refrigerated.
Wedding deliveries on major holidays – We are not able to offer any cake deliveries on or leading up to major holidays such as Easter, Thanksgiving and Christmas due to the overwhelming amount of production happening to meet the demands of the bakery.
What special considerations should I take for my outdoor Wedding/Event?
We never recommend having any baked good sit out in the natural elements (this includes but is not limited to heat, direct sunlight, rain and humidity or wind). If you ARE having an outdoor event and wish to have your cake/cupcakes/baked goods displayed outdoors we would highly recommend you have the cake/cupcakes/baked goods stay indoors until the very last minute. This will help to mitigate any potential hazards that may be present at your outdoor event. Any damage to a cake/cupcakes/baked goods after drop off (and set up if applicable) by Cake & Loaf is not the responsibility of Cake & Loaf. Any damage to a cake/cupcakes/baked goods after pick up at Cake & Loaf by the client is not the responsibility of Cake & Loaf.
We do not offer cake stand rentals at this point in time but we do have cupcakes stands available.
The cupcake stand is a 5 tier (8”/10”/12”/14”16”) clear acrylic stand that can hold 5-8 dozen cupcakes depending on how tightly they are placed on the stand.
$200.00* is applied at all times per cupcake stand. *(Rental Fee of $25 + tax ($28.25) plus Deposit of $175 for a total of $203.25)
Cake stand(s), if needed for display by the buyer, must be returned to Cake and Loaf Bakery Ltd. within 2 c+l business days.
Each day the stand(s) are not returned after the specified return date $50 will be deducted from the refund total for each day it is not returned.
All stands must be returned in full working order, all parts available, and in appropriate working condition (example: no obvious scratches and missing pieces), to have the deposit returned in full.
Damaged stands will result in no deposit return. (To cover the cost of a new stand)
Can you colour match your buttercream or fondant?
When a colour swatch, invitation or photo of a colour is sent over email, we are seeing your colour(s) from multiple device screens so colours may vary and come out differently from your original requested colours. This is due to devices having different brightness settings or the camera or device used to upload your picture may skew the tone. If you would like a closer replica of colours, please drop off a physical swatch 3 days in advance and we can do a physical side by side colour match. (please include your name, phone number and date of cake order when dropping off your colour swatch)
In all cases, we will use our best judgment for matching but can never guarantee a complete match.
Can we bring in our own cake decoration elements?
We are able to accept any non-edible item to be used on your cake/cupcakes/other baked goods. This includes but is not limited to toppers and ribbons.
Toppers – Please provide your topper no sooner than 2 weeks before or later then 1 week before your delivery or pick up date. (please include your name, phone number and date of cake order when dropping off your topper) If you are not dropping off your topper please be sure to have the topper left at the cake table for us to put on when we arrive with your delivery. If the cake/cupcakes/other baked goods are being left without set up, it will become the responsibility of the venue to place the topper on the cake.
Ribbon – If you are needing a colour of ribbon that we do not already have, we ask that you provide it. We will give you proper instructions as to what width and length you will need depending on the needs of the specific order. Please provide your topper no sooner than 2 weeks before or later then 1 week before your delivery or pick up date. (please include your name, phone number and date of cake order when dropping off your ribbon)
Cake or cupcake stands – Unfortunately, we do not have enough extra space to be able to store any cake or cupcake stands. If we are delivering to your event, please have any stands ready at the cake /dessert table for the time if delivery.
Fresh floral-We ask that the client provides the floral so that it is exactly what you would like and will match your theme/colours. We are unable to accept the flowers ahead of time at the bakery. Please have the flowers left at the cake/dessert table by your florist so that they are ready for us to put onto your cake when we arrive. If the flowers are not easily visible for us and we cannot easily find them, we will not be able to place the flowers on the cake/cupcakes/baked goods for you. In this case, we will give instruction to a wedding coordinator (or another person available at the venue) so that they can put the flowers onto your cake/cupcakes/baked goods. If we do not place the flowers on ourselves we will not be responsible for the placement or condition of the cake/cupcakes/baked goods or flowers.

Venues will be provided with our “Product Release Form” which gives the venue specific information on the cake/cupcakes/baked goods that we have delivered and dropped off or set up at the venue. This document includes, but is not limited, to the following guidelines: proper storage (in or out of a fridge), cutting and what items need to be removed before serving (wooden dowels etc.). This document is signed by a representative at the venue and then all responsibility is taken over by the venue. If they do not follow these guidelines, we are not responsible for their error(s).
We photograph all of our cakes and can use them in any way to promote/market our product. This includes, but is not limited to, use on social media, in store or on any other promotional/marketing material. We reserve the right to use these photos without client compensation or permission.
We also take photos of wedding cakes as proof of them being in good condition when we left them at a venue or before being picked up by a client.
Can you recreate a cake design that we found online?
We create custom cakes and prefer not to copy others artistic designs. We will use your provided photographs as inspiration but will create our own cake based in this inspiration. In order to make you aware of all intended details, we prefer to email cake quotes and orders to clients so that there will be minimal misunderstanding regarding what they will be getting.
All elements of your cake/cupcakes is handmade and is always subject to our individual artistic interpretation. When creating a cake, we might make minor decorative changes in order to better the aesthetic. We always try to do this with notice but may not be successful with getting in touch with the client before the cake needs to be completed.
How long will my cake last after my event?
At Cake & Loaf we take great pride in offering the freshest baked goods possible and all of our cakes are baked fresh to order! We use only real, wholesome ingredients with no preservatives. We recommend eating your cake within 2-4 days for optimal freshness (if stored and served properly).
If you would like to freeze the top tier of the cake we recommend the following:
Chill the cake in the fridge until it is firm to the touch
Wrap the cake well in plastic wrap so that it air-tight
You may choose to also wrap the cake in a layer of tin foil
When you’re ready to eat the cake, defrost the cake for at least 24 hours in the fridge
How will my cake be boxed when I pick up my cake?
When you come to pick up your wedding cake it will be boxed in one of our white bakery cake boxes. Most of our boxes are only available in heights up to 5”. (we have 8” tall boxes for 6” cakes only at this time) For cakes that are taller than 5” (single OR multi-tiered cakes) the cake will be in a box but the box will not be able to be closed completely.
What do I need to know about picking up my wedding cake?
Please let your wedding coordinator know how far you will be travelling with your cake so that we can be sure to have your cake properly cooled and sturdy for travelling.
When picking up a cake, please be sure to have a FLAT surface available for your cake to sit on with no items around it to potentially slide into or onto the side of the cake.
There will be a “Client Pick Up Product Release Form” given to you that must be signed before you leave the bakery. This document includes storage recommendations, set up and serving instructions.
